Twelve questions to ask before renewing
None of these is a trick. They are the questions any business administrator would ask about a multi-year software agreement, and the answers belong in writing before the purchase order is cut. Several are exactly the questions you should ask us. Where Raptor’s own published terms answer a question already, we quote them.
Where the clauses live. Raptor publishes a Purchase and Subscription Services Agreement — General Terms and Conditions (footer dated July 2026) and separate Service Specific Terms.1 Your order form may vary them. Ask for the version that governs your agreement and read that one; the section numbers below are from the public copy.
Does it renew automatically, and when is the notice date?
Section 5.2 of the public terms: the Agreement “will automatically renew for successive one (1) year renewal terms” unless either party gives written notice “at least 60 (sixty) days prior to the expiration”, and a notice given late “shall not be effective and the Customer shall be responsible for payment of all Subscription Fees due for the Renewal Term.”1 Put the date sixty-one days before expiry in the calendar of two people.
What is the in-term increase?
Section 3.4(f): “For annual subscription billing during the Term, the Annual Fee(s) may be increased from the previous annual period by the higher of the change in the CPI Index for the preceding 12 months or six percent (6%).”1 A multi-year term is not a fixed price unless the order form says so. The Columbus City Schools record on the pricing page shows what a “vendor cost of living increase” looks like on a board agenda.2
Is there a price cap on renewal?
Section 3.4(f) says renewal fees “are addressed in Section 5.2”; the public 5.2 sets the renewal mechanism but not a cap.1 Ask for the year-two and year-three per-site price now, as a number, and for the cap to be written into the order form. The public per-site trend in board records runs $550 (2020) to $695 (2025–26).2
What do we get back on exit?
Section 4.9: on termination the Customer “may request Raptor to delete such Personal Information”, and Raptor “may retain backups”.1 We did not find an export or data-return obligation in the public general terms; ask for one — all tables, all images, documented format, within a stated number of days, at no charge — and ask that it survive termination.
Which of our kiosks, scanners and printers will be supported?
Raptor’s store states that “Only supplies and equipment purchased through Raptor Technologies is approved for use with the Raptor System”, and its kiosk bundle “Requires an annual software subscription of $299.00”.3 If you own scanners or printers bought elsewhere, or LobbyGuard units, get the support position for each model in writing.
Where does the screening data come from, and how is coverage stated?
The Service Specific Terms say sex-offender checks “are performed through one or more third parties”, that the customer “must enter into an End User Agreement with the third-party provider”, and that Raptor “does not guarantee the accuracy, completeness, or quality of such information”.4 Ask which third party, the refresh interval per state, and for per-state coverage in writing. Does the product write back to the SIS, or only read from it?
Raptor’s VisitorSafe page describes “Syncing with the school’s Student Information System (SIS)”; PowerSchool’s partner page lists tardies among the use cases of its eSchoolPlus integration.5 Which SIS, which direction, and who owns the field mapping are order-form questions. (Ask us the same: today we sync from PowerSchool; ask about write-back before assuming it.)
Is there an uptime commitment with a remedy?
Section 7.2 of the public terms states Raptor “DOES NOT WARRANT THAT THE RAPTOR TECHNOLOGY WILL BE PROVIDED IN AN UNINTERRUPTED OR ERROR FREE FASHION AT ALL TIMES”.1 Raptor does publish a status page listing its components, including LobbyGuard and SchoolPass; historical uptime percentages are not published there.6 If uptime matters to your risk register, the number and the credit go in the order form.
How much training is included, and what does a refresher cost?
Public board records show implementation at $350 per site as a separate line, sometimes waived when bundled.2 Ask for hours, on-site or remote, and the price of training new front-office staff in year two.
If SmartPass or Emergency Management is bundled, what is each product alone?
Raptor acquired SchoolPass (April 2023), PublicSchoolWORKS (May 2024) and SmartPass (December 2024).7 Bundles are legitimate; opacity is not. Ask for the standalone price of each product and whether declining one changes the price of the others, and ask that each be separately terminable.
What does early termination cost, and does data return survive it?
Section 5.4 provides for termination on breach with a thirty-day cure period; the public terms do not state an early-termination fee for convenience, nor a non-appropriation clause.1 Public agencies should ask for both, and confirm the answer to question 4 survives.
Who in New Jersey renewed last year, and can we call them?
Ask for two districts of your size in-state that renewed in the last twelve months, and call them about the questions above — especially 2, 5 and 8.
A note on tone. We publish this list because we are a competitor, and you should read it that way. Every question applies to any vendor, us included. If you ask us the same twelve, we answer in writing; the RFP kit turns them into a requirements matrix you can send to all bidders at once.
